Getting started
Tallio runs on iPhone, Android, and at tallio.ca in any browser. The fastest path: download the app, sign up, scan one receipt. That's the loop. QuickBooks comes after.
Sign up
- Open the Tallio app or tap Sign up at tallio.ca.
- Enter your email, your company name, and choose a password.
- Confirm your email — we send a one-tap link. After that you're in.
Sign in
A few ways to get back in. Pick whichever you like — they all land on the same account.
First time on a new phone? Use the magic link — we email you a one-tap sign-in. No password to type with sawdust on your hands.
Capturing receipts
Tap the orange Scanbutton. Hold the phone over the receipt. Tallio finds the edges and snaps when it's steady — you don't have to line anything up.
Two ways to capture
- Take a photo. Default. Camera opens, hold steady, Tallio shoots. No shutter button to fumble for.
- Import from your library. Tap Import from libraryon the camera screen to pick photos you already took — handy for emailed PDFs you've screenshotted.
Getting a clean read
- Light it well. Daylight or under a truck cab dome light works. Sodium-yellow shop lights flatten the contrast — step outside if you can.
- Flatten the receipt. A curled thermal receipt fools the OCR. Press it against the dashboard or a clipboard.
- Get close.Fill the frame with the receipt. The viewfinder turns green when the framing's good.
- Faded? Snap it anyway. Tallio re-reads the image with multiple passes — partial reads still come through, you just review the flagged fields.
Four receipts per photo, max. You can lay up to four receipts flat in one shot and Tallio will split them into separate entries. Past four, the per-receipt detail gets thin — shoot a second photo instead.
Reviewing & categorizing
Tallio reads the receipt, fills in vendor, date, subtotal, tax, total, line items, and category, then drops it into your Inbox. Anything we're not sure about gets a small flag — tap to confirm or fix.
What gets filled in automatically
- Vendor— matched against your QuickBooks vendor list and the major Canadian suppliers we recognize (Home Depot, Rona, Lowe's, Home Hardware, Princess Auto, and more).
- Date — read directly from the receipt header.
- Subtotal, tax, total — broken out so your books match your jurisdiction (5% GST in AB/BC/SK/MB/NT/NU/YT, 13% HST in ON, 15% HST in NS/NB/PE/NL, 9.975% QST + 5% GST in QC, 7% PST + 5% GST in BC/SK/MB).
- Line items — description, quantity, unit price, total. Cryptic SKUs get translated where we can (
3029284765781→ Milwaukee 18V drill). - Category — suggested from your past behaviour and the vendor type.
Editing a field
- Open the receipt from your Inbox.
- Tap any field — vendor, total, date, a line item — to edit. The original photo stays visible so you can double-check.
- Save. Tallio remembers your fix and applies it to similar receipts going forward.
How categories learn
Tallio starts with sensible defaults — lumber goes to Job Materials, gas to Vehicle Expenses, coffee to Meals & Entertainment. The first few times you re-categorize a vendor (or a specific SKU on a vendor), the rule gets saved. After a couple of weeks, the Inbox is mostly empty by Friday because everything sorted itself.
Reviewed = ready. Anything in your Inbox without a flag is good to send. Bulk-select and tap Send to QuickBooks to clear the lot.
Connecting QuickBooks
Tallio writes to QuickBooks Online. (QuickBooks Desktop is on the roadmap — email us if that's blocking you.) Connecting takes about 30 seconds the first time.
Connect
- Go to Settings → QuickBooks in the app or at tallio.ca.
- Tap Connect QuickBooks. You'll bounce to Intuit's sign-in.
- Sign in to QuickBooks, pick the company (the “realm”) you want Tallio writing to, and hit Connect.
- You'll land back in Tallio with a green check. Your chart of accounts, vendors, and customers pull in within a minute.
What syncs
Refunds & returns
Returned a pallet of drywall? Snap the refund slip the same way you'd snap a receipt — Tallio detects the negative total and posts it as a Vendor Creditagainst the original Purchase. If you can't find the original, we still post the credit and you can match it in QuickBooks later.
Tap twice by accident?
Tallio sends each receipt to QuickBooks exactly once. We fingerprint each receipt image, so re-sending the same photo is a no-op — you won't see double-posted bills in your books even if you tap the button twice.
QuickBooks connection expired? Intuit makes you reauthorize roughly every 100 days of inactivity. We show a banner in the app well before that — reconnecting takes about ten seconds, and no data is lost.
Jobs, customers & vendors
Every receipt can belong to a job. Tallio lets you tag receipts as you capture them so the job-costing in QuickBooks reflects reality without anyone re-keying anything at month-end.
Tagging a receipt to a job
- Before the snap:set the active-job pill at the top of the Scan screen. Anything you capture inherits that job. Set it once when you pull into the supplier's lot and forget it.
- After the snap: tap the job field on the receipt in your Inbox. Type a few letters of the job name; Tallio matches against your job list.
- Bulk:in the Inbox, select multiple receipts and assign a job at once. Useful for a full day's worth of small purchases on the same site.
Creating a job
Tap Jobs → New job. Give it a customer (or create one), an address, and a name. Jobs sync to QuickBooks as Projects (or Classes, depending on your QuickBooks plan).
Vendors
Vendors are pulled from QuickBooks the moment you connect. New vendors that show up on a receipt — a one-off lumber yard, a sub-trade you're paying for materials — get created automatically in QuickBooks when the receipt syncs, so your vendor list stays current.
Account & billing
Tallio is a monthly or annual subscription. All prices are in CAD; we charge the GST/HST appropriate to your province on your invoice.
Manage your subscription
Plans, invoices, and the card on file all live under Plan & billing on the web at tallio.ca. There you can:
- Switch between monthly and annual at any time (annual saves ~17%).
- Upgrade or downgrade your plan — the change takes effect at the next billing cycle.
- Update your credit card.
- Download every invoice as a PDF for your own books.
Cancelling
Cancel from Plan & billingany time. You keep full access until the end of the period you've paid for, then your account drops to read-only — you can still see and export your receipts; you just can't capture new ones or sync to QuickBooks.
Refunds
First 14 days of a paid plan: full refund, no questions. After that, we don't pro-rate mid-cycle — but if something on our end is broken, email us and we'll make it right.
Deleting your account
You can delete your Tallio account yourself, right from the app — no emailing anyone, no support queue. You're signed out the moment it's done.
How to delete in-app
- On the web: open More at tallio.ca and tap Delete account. Type DELETE to confirm, then tap Delete forever.
- On mobile: go to More → Privacy & security → Delete accountand confirm. You're signed out immediately.
Prefer a human? Email support@tallio.ca from the address on file and we'll process it within one business day.
What happens to your data
We have to be careful here. Receipts you've sent to QuickBooks are financial records — your accountant (and the CRA) may need them for years. So we don't blanket-delete. Here's exactly what goes and what stays:
This can't be undone. Once deletion is confirmed, your captured-but-not-synced receipts are gone for good. If you might come back, consider just cancelling your subscription instead — your account drops to read-only and you can re-activate later.

Privacy & security
Receipts are sensitive. You're handing us your suppliers, your prices, your customers, and your taxes. We take that seriously.
- Encrypted in transit. Everything between your phone, our servers, QuickBooks, and your browser runs over TLS 1.2+.
- Encrypted at rest. Photos and your database are encrypted on disk. Your QuickBooks tokens get a second layer of AES-256 encryption with a separate key.
- We don't sell your data. Not to ad networks, not to anyone. Your receipts are not used to train generalized AI models.
- Zero-retention OCR.The AI model that reads your receipts doesn't keep them — images are dropped on the provider's side as soon as we get the extracted data back.
- Canadian compliant. Built for PIPEDA, Quebec Law 25, Alberta PIPA, and BC PIPA. Privacy officer reachable at privacy@tallio.ca.
