How to add receipts to QuickBooks Online

Tallio sends receipts to QuickBooks Online for you. You snap a photo on site; Tallio reads the vendor, date, tax, and line items, matches the receipt to the right job, and posts it to QuickBooks as a Purchase — with the GST/HST split out and the original photo attached. Here's how to set it up and send your first receipt.

1. Connect QuickBooks Online

1. Go to Settings → QuickBooks in the app or at tallio.ca.
2. Tap Connect QuickBooks. You'll bounce to Intuit's sign-in.
3. Sign in, pick the company (the “realm”) you want Tallio writing to, and confirm.
4. You land back in Tallio with a green check. Your chart of accounts, vendors, and customers pull in within a minute.

2. Scan and send a receipt

1. Tap the orange Scan button and hold the phone over the receipt. Tallio finds the edges and snaps when steady.
2. Tallio reads the receipt and drops it in your Inbox. Anything it isn't sure about gets a flag — tap to confirm or fix.
3. Tap Send to QuickBookson the receipt, or bulk-select a day's worth and send them all at once.

Tap twice by accident? Tallio sends each receipt exactly once — it fingerprints the image, so the same photo never posts twice.

What Tallio posts to QuickBooks

• A Purchase mapped to the right expense account.
• The vendor— matched to your QuickBooks vendor list, or created automatically if it's new.
• The job — mapped to a QuickBooks Project or Class so job-costing reports stay accurate.
• Tax — GST/HST/PST lined up with your QuickBooks tax codes.
• The original photo, attached to the Purchase for your records.

Refunds and returns

Returned a pallet of drywall? Snap the refund slip the same way you snap a receipt. Tallio detects the negative total and posts it as a Vendor Credit against the original Purchase. If it can't find the original, it still posts the credit and you can match it in QuickBooks later.
